Trial Goal: Creating Polished Guide & Guest Itineraries
To keep things focused and provide immediate value, your trial will centre on creating professional, polished itineraries for an upcoming tour—documents you can confidently share with your guides and guests. This process will not only equip you with stunning itineraries but will also introduce you to Fieldbook’s core features through a practical, hands-on experience.
By the end of the trial, you’ll have:
Stunning sharable itineraries ready for your guide and guests
A tour workspace containing all the trip’s essential details in one centralised place
A reusable operational itinerary to simplify planning and save time on future tours

3 Steps to Creating Your Guest & Guide Itinerary
Creating your guide and guest itineraries in Fieldbook is a simple, efficient process that involves three key steps:
Build out the tour itinerary
Add suppliers and their services
Add guest and staff details
If we've pre-loaded a tour for you, we’ll take care of some of the initial setup for you. During the trial, you can refine and customise these details to suit your needs.
Step 1: Build out the Tour Itinerary (~2 hours)
The first step is to create a day-by-day itinerary that serves as the foundation for your tour documents. Here’s what you’ll accomplish:
Create an itinerary outlining the events of each day
Add content for guests and guide like notes and descriptions
Add custom sections (e.g. terms and conditions) to your documents
By the end of this step, you’ll have a sales brochure and a guest itinerary ready to be shared. Next, you’ll add important supplier information, such as services and reservations.
Step 2: Add Suppliers and Services (~2 hours)
This step ensures that all supplier information—hotels, transport, and activity providers—is captured in Fieldbook. During this step, you’ll:
Add in suppliers and services to the tour
Track existing supplier requests and reservations
By the end of this step, your tour will include all relevant supplier information, seamlessly synced into your guide itinerary. You’ll also have full visibility to track reservations directly within Fieldbook.
Step 3. Add in Group Details (2 hours)
The final step is to add guest and staff information, completing your guide itinerary and ensuring it’s ready for use. Here’s what you’ll do:
Add guests to the tour
Add staff to the tour
Once this step is complete, your guide itinerary will be fully finalised and ready to share with your team and guests!

What Happens After the Trial?
After the trial, we’ll transition into the implementation phase, which is designed to set you up for long-term success within 30 days. Our structured 30-Day Success Plan provides a tailored roadmap to get you fully onboarded, including setting up packages, reviewing your configurations, and holding regular check-ins. You’ll also have a dedicated Customer Success Manager to guide you through the process and ensure you’re getting the most out of Fieldbook.
