How to set up Pre and Post Departure Options in Fieldbook

A guide on how to set up pre and post departure options, such as extra nights of accommodation, or a pre-tour dinner

For some tours, you may offer pre or post departure options, such as extra nights of accommodation before or after the tour. This article explains how to set up these options in Fieldbook.

Step 1: Set Up Pre and Post Tour Days

First, configure the departure/package to include pre and post tour days. For more details on how to do this, please refer to the Managing Pre and Post Tour Days.

Step 2: Add Pre/Post Accommodation to Itinerary

In the itinerary, create separate accommodation items for each pre/post-tour duration you offer. Add the relevant accommodation services to each item.

Step 3: Set Up Package Options

Next, create package options that represent the pre and post departure choices for guests. If you offer multiple options (e.g. 1 night vs. 2 nights), set these up as separate options:

  1. Navigate to the Package Options tab.

  2. Create a new add-on option for each pre/post duration (e.g., “1 Night Pre-Tour” or “2 Nights Pre-Tour”).

  3. Link the corresponding services created in the previous step to each option.

Repeat the process for post-tour options.

Step 4: Add Options During Booking

When adding a booking, select the pre/post-tour options the guest has chosen. Once added, the guest will be automatically assigned to the selected accommodation services.

What If Pre-Tour Includes Both Accommodation and Dinner?

If you offer additional services like a pre-tour dinner for those that join before the tour, create it as a separate itinerary item (e.g., “Pre-Tour Dinner”) and package option.

Guests selecting the pre-tour accommodation can also be assigned to the dinner option to keep everything organised.
