Understanding how and where your content appears in Fieldbook tour documents is crucial for creating professional and engaging itineraries. This guide breaks down the placement and purpose of key content elements, helping you ensure that every detail is accurately represented in your tour documents. It covers:

  • Organisation Information

  • Package/Departure Information

  • Day Information

  • Itinerary Item Information


Organisation Information

In the Organisation section of Fieldbook, you can manage the key organisational details that will appear in tour documents.

The content elements are:

  • Organisation name

  • Organisation email

  • Organisation website

  • Organisation Phone

  • Organisation Logo

  • Organisation Address

Organisational details are shown in the top left corner of the Cover Page.


Package / Departure Information

In the Information tab of a package or departure, you can manage key content elements that will appear on your tour documents.

The content elements are:

  • Package name for passengers

  • Tagline for passengers

  • Description for passengers

  • Cover Image

Where they appear in Tour Documents


Package name for passengers

Purpose: Serves as the headline that introduces the tour to guests.

Where it appears:

Displayed prominently in the top left corner of the Cover Page.

Tagline for passengers

Purpose: Provides a brief, engaging summary of the tour, capturing its essence.

Where it appears:

Positioned just below the headline on the Cover Page in smaller text.

Description for passengers

Purpose: Offers a concise overview of the tour experience, setting the tone for what guests can expect.

Where it appears:

This description is prominently featured on the Sales Cover Page but does not appear in the Guide or Passenger Documents. It’s designed to be concise, ensuring it fits within a one-page layout.

Cover image

Purpose: Enhances the visual appeal of the document, making it more engaging

Day Information

Each day in your itinerary can include the following content:

  • Day Title

  • Short Summary

  • Descriptions (Passenger, Sales, Guide)

  • Day Cover Image

  • Accommodation Inclusions

  • Food & Beverage Inclusions

Where they appear in Tour Documents

Day Title

Purpose: Acts as a headline, providing a clear label for each day.

Where it appears:

Shown in the Day Summary section

At the top of every day section in the Itinerary

Short Summary

Purpose: Offers a short overview of the day’s activities for the Day Summary page

Where it appears:

Displayed in the Day Summary section (after cover page) of the tour document.

Descriptions (Passenger, Sales, Guide):

Purpose: Offers a longer overview of the day for different audiences

Where it appears:

Displayed at the top of each day’s page in the Itinerary section.

Itinerary (run-sheet) section which is used for Guide and Passenger Itinerary

Itinerary (highlights) section which is used for Sales Brochure

Day Cover Image

Purpose: Adds visual interest to the document, making each day’s itinerary more engaging.

Where it appears:

Shown at the top of each day in the Itinerary section.

Accommodation & Food & Beverage Inclusions:

Purpose: Ensures guests are informed about their accommodations and meals for the day.

Where it appears:

Appear at the top of each day’s page in the Itinerary section for the Passenger and Guide Itineraries, and as a bottom banner on the Sales Document.​

Displayed in the top right corner of the Itinerary (run-sheet) section, used for Guide and Passenger Itineraries.

Appears as a bottom banner in the Itinerary (highlights) section, used for the Sales Brochure.

Itinerary Item Information

Each day in your itinerary can include the following content:

  • Itinerary Item Name, Start and End Times

  • Descriptions (Passenger, Sales)

  • Guide Notes

  • Services

Where they appear in Tour Documents

Itinerary Item Name, Start and End Times

Purpose: Provides a clear label for the itinerary item.

Where it appears:

Displayed next to the timeline in your documents.

Note: that the times can be hidden if desired. Please see the article How to Prevent Times from showing in Tour Documents

Descriptions (Passenger, Sales)

Purpose: Offers an overview of the itinerary item tailored for different audiences.

Where it appears:

Shown next to the timeline on the left in plain text.

Guide Notes

Purpose: Provides specific instructions or notes for guides.

Where it appears:

Displayed in the timeline on the left, highlighted within an orange box for easy visibility.

Services

Purpose: Lists the services associated with the itinerary item.

Where it appears:

Displayed beneath the descriptions and guide notes. Only the supplier name and any relevant IDs are shown.
