Learn how to set up Package Options in Fieldbook to manage room preferences and optional extras for Public Tours

Package Options

In Public Tours, bookings often include options like room types or optional extras that require special handling. For example, if a customer selects a single room instead of a twin share, they need to be assigned to a single room, and a reservation must be made. Similarly, if a spa treatment is chosen as an add-on, it needs to be booked for that guest. Fieldbook’s Package Options allow you to set up these choices, making it easy to manage preferences, extras, and the associated logistics.

Mandatory & Add-On Options

There are two types of Package Options in Fieldbook:

  • Mandatory Options: Choices that customers are required to select from (e.g., twin room or single room).

  • Add-On Options: Optional extras that customers can choose to include (e.g., optional spa treatment on Day 2).

Using options lets you map choices to multiple services. For example, if a guest selects a single room option, they will be assigned to all single room services for the entire tour.

If you do not offer your customer any booking options, leave the Package Option page blank.

Creating Options

How to Create a Mandatory Option

  1. In the package, click the Package Options tab.

  2. Click Add Option and fill out the name and description.

  3. Set the option to Mandatory and specify the number of choices available.

  4. For each choice:

    1. Fill out the name

    2. Set limits if needed

    3. Add the relevant services linked to that choice.

  5. Click Save.

How to Create an Add On

  1. In the package, click the Package Options tab.

  2. Click Add Option and fill out the name and description.

  3. Set the option to Add-On and specify the number of choices available.

  4. For each choice:

    1. fill out the name

    2. set limits if needed

    3. Add the relevant services linked to that choice.

  5. Click Save.

Selecting Options when Adding a Booking

Once you’ve created the options, they will appear during the booking process:

  1. When adding a booking to a departure, the Mandatory and Add-On options will be shown.

  2. To reflect the options, select the number of passengers in the booking who chose each option.

  3. To manage individual passenger choices, click the down arrow to view or change the passengers associated with each option.

  4. To assign or change a passenger, use the dropdown menu next to their name.

This setup ensures each guest is assigned to the correct services based on their booking choices.
