A step by step guide on importing booking data from Wetravel to Fieldbook

Overview

Fieldbook’s import feature lets you import booking data from Wetravel into Fieldbook. This guide walks you through the process, step by step. The steps are:

  1. Export Booking Data from Wetravel

  2. Import Booking Data into Fieldbook

  3. Map Wetravel fields to Fieldbook fields

  4. Review and Import

Step 1: Export Data from Wetravel

  1. Log in to your Wetravel account and navigate to the trip page

  2. Click the Download Excel button to download your bookings

  3. Open the downloaded file. You’ll see two tabs: Bookings and Participants.

  4. Save the Participants tab as a CSV file.


Step 2: Import Data into Fieldbook

  1. Log in to Fieldbook and navigate to the Bookings tab of the departure that corresponds to the same Wetravel trip

  2. Click the Import Bookings button.

  3. Select the CSV file you saved from Wetravel.


Step 3: Map Data Fields

Map the columns from your CSV file to the corresponding fields in Fieldbook

Mapping Booking Reference Code:

WeTravel does not automatically provide a booking reference code. Here are two ways to handle this:

  1. Use the Buyer’s Last Name as the Reference Code:

    • Select “Booking: booking contact + use as reference” from the dropdown during the mapping process.

  2. Manually Create a Booking Reference Code:

    • Before importing, add a unique booking reference code directly in the WeTravel export file.

Either approach ensures each booking has a unique reference, which is required for the import process.

Mapping Package Options:

Map each package on your Wetravel to the package options you created in your Fieldbook tour.

Handling Missing or Custom Fields

If your CSV contains data that doesn’t quite match an existing Fieldbook field, refer to guidance from the main help article here.


Step 4: Review & Import

  1. On the review screen, check that all data looks correct:

  2. Select whether to:

    1. Update existing records if you’re updating existing bookings.

    2. Create new records for new bookings

  3. Click Import.
